Running the portals (staff side)
Issue links, control what each link sees, and action everything from one page.
Issue a link
1Open the participant and use Family access to create a link. Label it with the person's name and relationship, for example Sarah's mum.
2Send the link by your usual channel. Revoke it any time.
Control what each link sees
1Go to People, then Family & SC portal, then Links & access.
2Each link has a toggle per section: Schedule, Goals, Notes, Equipment, Updates, Funding, Documents, Messages. Changes apply instantly and the portal tells the visitor what is shared.
3Sharing a specific document: set the document's visibility to family on the participant's record and it appears in their Documents tab. Signed service agreements appear automatically.
Action the inbox
1Requests tab: every document request with requester, type and date range. Start it, write the response the visitor will see, and mark it fulfilled or declined.
2Messages tab: one private thread per link. Unread counts show on the page. Replies appear on the visitor's link immediately.
3Uploads tab: view each uploaded file, mark it reviewed, then file it on the participant's record.
